Field Sales: plan, visit, review

A shared guide for administrators, managers and salespeople working at customer locations.

Set up the sales team

  1. Open Sales → Field Sales in the correct company account.
  2. Confirm employee roles have Field Sales access.
  3. In Sales Team, enter shift information and optional van or vehicle details. Enable Sales Assignment where appropriate and save each assignment.
  4. Open Settings and review location preferences and Customer Routes.
  5. Test one assignment, visit completion, attachment and report with a salesperson account.

Prepare customers and import routes

CRM customers and imported route rows are separate. Importing a route list does not create CRM customer profiles. Each route row needs the correct customer match before visits can be generated.

  1. Prepare a CSV using the supported headings below. Keep customer names and route codes consistent.
  2. Open Areas & Routes → Import CSV, choose the file and enter Source Dataset when needed.
  3. Import / Update, then review imported, updated and skipped counts.
  4. Resolve missing CRM matches, inactive routes and invalid weekdays before assigning work.
CSV headingWhat to enter
customer_nameThe customer or company display name.
source_customer_idYour source customer code; this is not automatically the CRM customer reference.
route_codeThe actual route code. Required.
visit_dayThe intended weekday. A blank day needs attention for recurring scheduling.
route_statusActive or inactive.
state / area / branchLocation details when available.
source_sheetDataset name. If present in the CSV, it takes priority over the Source Dataset input.
crm_customer_idOptional existing CRM customer reference in the same company account.

The importer also accepts Customer Id, customerr, RC, Day Of and cnt2 as alternative headings for the corresponding customer code, name, route, weekday and status fields.

Assign visits for a date

  1. Open Assignments and choose Salesperson, Assignment Date and Priority.
  2. For a single meeting, select Customer or Lead in Assign Field Visit and save.
  3. For several customers, use Customer Daily Plan and choose Field Visits or Area with Customer Visits.
  4. Select an uploaded area or route when needed, choose the customer rows and save.
  5. Check Overview for the same date and salesperson to confirm the assignments.

Assign recurring customer routes

  1. Enable Recurring Customer Assignments in Settings. Enable Weekday Bulk Selection if managers should select whole days.
  2. In Areas & Routes, open the appropriate route, area or imported dataset group.
  3. Select customer rows or the day checkbox. Whole-day selection can include customers hidden by search or pagination; review the selection count.
  4. Choose the salesperson and assign. Review the replacement confirmation if another owner already exists.
  5. Check the generated date. Use Generate Daily Plans for a chosen future date when needed.

Recurring scheduling needs an active route, an active salesperson, a valid weekday and a linked CRM customer. Changing recurring ownership does not transfer an existing dated or completed visit. Turning recurring assignment off does not cancel previously saved work.

Record customer visits

  1. Sign in to the correct company account and allow the location access required by your company. Check the work date and assigned customer.
  2. Use attendance Clock In when required. Then open the assigned visit.
  3. At the customer location, use the visit Start / Check In action. Confirm that the visit shows In Progress.
  4. Record the outcome, notes, follow-up date and any required attachment.
  5. Complete that visit using Stop / Complete / Check Out and confirm the end time and Completed status.
  6. At the end of duty, finish outstanding visits and use attendance Clock Out.

Understand area targets

Area Achieved counts added shops; staff report Achievement compares completed visits with the effective visit target. These are different measures.

Complete each shop visit. Adding a shop alone does not complete the area. An area completes when completed shop visits meet its target; where the target is zero and shops exist, all shops must be completed.

Review locations and proof

  1. Open Live Tracking, select Date and Salesperson, then Apply.
  2. Check Last GPS before interpreting a marker. Use an earlier date to review the available trail.
  3. Open Visits for the same date and staff member to review recorded outcomes.
  4. Use View Attachments under Proof and open the relevant image or file.

A marker shows the latest received location. Phone accuracy, network delays and background access affect freshness. A trail connects recorded samples; it does not prove the exact road travelled. Refreshing the map does not force the phone to send a new reading.

If a file does not open, confirm the upload succeeded on that visit and report its reference to support.

Location and route configuration

SettingWhat it means for your team
Location TrackingEnables company tracking; the app must still send location updates.
Track Only While Clocked InRequires an open attendance record for location collection and visit start.
GPS History IntervalStored-history time threshold: 30–3,600 seconds. It does not set the phone’s update frequency.
History DistanceStored-history distance setting: 0–10,000 metres. It does not guarantee a point for every movement.
History RetentionStored-history retention preference: 1–3,650 days. Confirm available historical coverage before changing it.
Maximum GPS InaccuracySaved accuracy preference: 1–10,000 metres.
Customer GeofenceSaved customer-radius preference: 1–10,000 metres.
Working Hours Only / Start / EndWorking-hours preferences for your company.
Offline Location Sync / Require Checkout PhotoOffline and proof preferences; verify behaviour with the installed app.
Mock Location Warning / One Device Per User / Route PlaybackReview supported behaviour with Zeyora and test the staff app before relying on these controls.
Group Customers ByRoute, No Grouping, Area or Imported Dataset.
Visible ColumnsChoose customer code, route, weekday, state, area and branch columns.
Sources Excluded From New AssignmentsOne source name per line. Exclusions prevent new assignments; they do not delete or hide imported rows.

Read targets and reports

Choose Daily, Weekly or Monthly in Reports, then check the displayed dates. Weekly uses Monday to Sunday around the selected date; monthly uses that calendar month. Use CSV when an export is needed.

  • Plans count planned work for the reporting period.
  • Completed counts recorded completed visits.
  • Effective target can include unfinished work carried to the next target day.
  • Attachments count proof files, and GPS Points count stored location samples.
  • Plans use their planned date; a completed visit can be attributed to its checkout date. An overnight visit can therefore appear on a different reporting day.
