What you will take away
- Day mode and entitlement are different settings.
- Reconcile opening balances before relying on migrated totals.
- Test weekend, holiday and low-balance requests with an actual employee policy.
Check the policy before changing the balance
Check the approved company policy before opening the settings. You need to know the entitlement, how it accrues, which dates apply and how requested days should be counted. The balance also needs to account for approved usage and any opening adjustment.
Give employees a plain explanation of the method. Someone planning a holiday should be able to understand why the date range on the request may differ from the number of leave days deducted.
A seven-day request can mean different deductions
Consider an illustrative request from Monday through Sunday in a team that works Monday to Friday. A simple working-day example counts five scheduled weekdays. A simple calendar-day example counts seven days. This example explains the distinction; it is not a promise about every company’s configured holiday, weekend or request-boundary behaviour.
A shift pattern, public holiday, special working day or policy rule can change the actual result. Check the calculation shown for a sample employee in the intended account. Do not copy a policy from another department simply because the annual entitlement looks similar.
| Policy concept | Illustrative counting approach | What HR should verify |
|---|---|---|
| Working days | Count the applicable scheduled working days. | Employee schedule and treatment of holidays or special days. |
| Calendar days | Count the days in the requested calendar span. | Boundary dates and the approved company policy. |
| Accrual | Add entitlement according to the assigned accrual method. | Monthly rate, effective date and employee policy assignment. |
Find out what the opening balance includes
An employee’s opening balance needs a clear effective date and explanation. If a company moves from spreadsheets to HRM, decide whether the opening figure already includes the current period’s accrual. Otherwise, the same entitlement may be added twice or not included at all.
Compare a small sample of employees before accepting the migration. Include a recent joiner, an established employee and someone with a recent adjustment. Reconcile the displayed balance against the agreed opening amount, accrued entitlement, approved usage and relevant corrections. Record why an authorised adjustment was made.
Open the request and check its status
A request can be submitted, awaiting review, approved or otherwise resolved. The way a screen presents availability may depend on the workflow stage. Open the underlying request and check its dates and status before assuming a balance has been deducted incorrectly.
Managers should also check staffing coverage, while HR reviews entitlement and final approval responsibilities. If requests remain stuck, review the reporting hierarchy and the configured final HR approvers. Repeatedly submitting the same leave request can make the situation harder to understand.
Try the dates that are likely to cause questions
If your company permits a negative annual leave balance, confirm who can approve the exception and how it should be explained. Enabling the available setting is a business decision with consequences for future balance review. It should be tested with a sample low-balance request before staff rely on it.
Prepare a compact test set: a request within a normal week, a span over the weekend, a request around a holiday and a request near the available balance. Use the actual employee policy and calendar. Save the expected result alongside the observed result so HR can identify whether a difference comes from policy or configuration.
Example: bringing an existing balance into HRM
HR prepares to move leave records into a new account. The working spreadsheet gives an employee a balance as of the end of the previous month. Another file contains a recently approved request. Before importing an opening amount, HR establishes whether that request has already been reflected in the spreadsheet figure.
The reviewer documents the effective date and the records included in the opening balance. After assigning the policy, HR checks the displayed amount and a sample request against the approved reconciliation. If a difference appears, the team investigates whether it comes from accrual, usage, day mode or a duplicate adjustment.
The employee receives an explanation of the confirmed result and the method used for future requests. This is more helpful than changing the number repeatedly until it resembles an old screenshot. A clear balance history also gives the next HR reviewer enough context to understand why the opening value was chosen.
Where to check the figures in Zeyora
Open Annual Leave Policies to review the day mode, annual entitlement and monthly accrual rate. In the balance view, check the employee, policy and displayed as-of date together. When an authorised adjustment is needed, leave a note explaining the amount and why it changed.
If the result still does not match the policy, collect the employee reference, requested dates, expected deduction and actual deduction before contacting support. Those details give HR and Zeyora a calculation to check.
Common questions
Does working-day leave always exclude Saturday and Sunday?
No. Working days depend on the applicable schedule and company policy. Test the relevant employee calendar instead of assuming a universal weekend.
Can HR correct an opening balance?
Use the authorised balance adjustment process available in the account and keep an explanation and effective date. Confirm the intended value before changing it.
